Data Retention Policy

This Data Retention Policy explains how long Eval LogiQ retains different categories of data, when data is deleted, and your rights regarding your data. This policy should be read alongside our Privacy Policy and Terms of Service.
1. Overview
We retain data only for as long as necessary to provide the Service, fulfill legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete it permanently and irreversibly from our systems.
Retention periods vary by data type and are driven by:
- The operational need to provide the Service
- Account and billing status
- Legal and regulatory requirements
- User requests for deletion
2. Account and Organizational Data

3. Document and Case Data

4. Billing and Financial Data

Financial records may be retained longer than other data categories to comply with applicable tax, accounting, and regulatory requirements.
5. System and Log Data

6. Deletion Process
When an account is deleted — whether by the user, automatically, or by us — the following occurs:
- All uploaded documents are permanently deleted from Cloudflare R2 storage
- All extracted text, chunks, embeddings, timelines, and AI analysis are permanently deleted from our database
- All case and organizational metadata is permanently deleted
- The user account and associated profile data are permanently deleted
- Authentication records are removed from Supabase Auth
- Third-party AI providers (Anthropic, Mistral AI) are not instructed to retain data beyond their standard processing and are subject to their respective data retention policies
Deletion is permanent and irreversible. We cannot recover data after deletion. Billing records are an exception and are retained as described in Section 4.
7. Pre-Deletion Notifications
We provide advance notice before automatic account deletion:
- Pending payment accounts: Warning email sent on day 23 (7 days before deletion on day 30)
- Inactive trial accounts: Warning email sent at month 11 (30 days before deletion at month 12)
Notifications are sent to the email address associated with the organization’s administrator account. It is your responsibility to ensure your contact email is current and monitored.
8. Your Right to Request Deletion
You may request deletion of your account and all associated data at any time by:
- Contacting us at support@evallq.com
- Including “Account Deletion Request” in your subject line
- Providing the email address associated with your account
We will process deletion requests within 30 days. Once deleted, data cannot be recovered. We may retain billing records as required by law.
9. Third-Party Retention
Our third-party service providers maintain their own data retention policies. In particular:
- Anthropic: Document content sent for AI analysis is subject to Anthropic’s API data retention policies. API customers’ inputs are not used to train models.
- Mistral AI: Document content sent for OCR is subject to Mistral AI’s data use policies.
- Stripe: Payment data is retained by Stripe per their policies and applicable financial regulations.
We encourage you to review the privacy policies of these providers for details on their data practices.
10. Changes to This Policy
We may update this policy as our practices evolve or as required by law. Material changes will be communicated via email and posted on this page with an updated effective date.
